What if my appointment is more than 45 days away?

We can only process requests up to 45 days before the appointment date. If your appointment is further out, please set a reminder to submit your request when you're within the 45-day window. This policy helps us manage volunteer coordination and ensures we're providing assistance to the most current needs.

What if my appointment is in less than 7-10 days?

If your appointment is urgent (within 7-10 days), please call us directly at 800-296-3797 during business hours. We'll do our best to assist, but transportation cannot be guaranteed on short notice due to coordination requirements. For the best service and more travel options, please submit your request at least 14 days in advance whenever possible.

What if my appointment changes or gets cancelled?

Life happens, and we understand that medical appointments sometimes need to change. If your appointment is rescheduled, contact us immediately at 800-296-3797 or by email. Provide the new appointment date and time, and we'll work to adjust your transportation accordingly. If your appointment is cancelled, let us know as soon as possible so we can cancel any arranged transportation. This is especially important for volunteer pilot flights, as pilots donate their time and we want to respect their schedules. If you need to cancel with short notice, we understand that health situations are unpredictable. Just let us know and there's no penalty or problem. The key is communication. The sooner you tell us about changes, the better we can assist you and respect our volunteers' time.

How far in advance should I request assistance?

We recommend submitting your request as soon as you schedule your medical appointment, but we can only accept requests with a minimum of 7 days before your appointment and a maximum of 45 days before your appointment. Ideal timing is 3-4 weeks in advance, which gives us the best opportunity to coordinate volunteers, find the best flight options and ensure everything runs smoothly.

Can you assist with recurring appointments like dialysis or chemotherapy?

Absolutely. We understand that many patients need transportation for ongoing treatments that may span weeks or months. We're equipped to assist with recurring appointments as long as eligibility requirements are met. When you submit your request, include your full treatment schedule (how many times per week or month). We'll calculate the frequency and total distance to determine the best assistance plan. For frequent appointments (three or more times per week), we may provide monthly gas cards or Uber/Lyft vouchers to simplify travel. Even if your treatment facility is nearby (under 25 miles one way), we may still be able to assist if you're traveling 12 or more times per month. We recognize that frequent short trips can quickly become a financial strain. Please provide your appointment schedule (frequency and duration), the length of your treatment plan (for example, 3 months, 6 months or ongoing) and documentation confirming recurring treatment. Important note: If you verify income through SSI or bank statements, you'll need to submit updated proof every 3 months. Our system automatically removes uploaded files after 30-60 days for privacy and security, so we recommend including income documentation with each application to avoid delays.
